How to Estimate a Paint Job (Step-by-Step for Painters)
A practical method for painters to estimate interior and exterior jobs: measuring, paint quantities, labor hours, materials and mark-up.
Underbid and you work for free. Overbid and you lose the job. A consistent estimating method is what lets painting businesses quote quickly and still make money.
Here's a step-by-step method you can use on every job.
1. Measure the paintable area
Measure each room's walls (perimeter × height), ceilings and trim separately, and deduct doors and windows. Note the surface condition and anything that needs repairs. The Paint Calculator & Estimator app can scan a room so you just tap the walls to include.
2. Calculate materials
- Paint = area × coats ÷ coverage, plus 10% waste. Use the paint calculator or the app.
- Primer for new drywall, stains and big color changes.
- Sundries: tape, plastic, caulk, patching compound, roller covers. Many painters add a flat percentage of the paint cost.
3. Estimate labor hours
Use your own production rates: how many square feet you or your crew paint per hour, for each surface type. Track them on a few jobs and you'll have reliable numbers. Add time for setup, prep, cutting in, cleanup and travel.
4. Price it
- Labor = hours × hourly rate.
- Materials = paint + primer + sundries.
- Add overhead and profit as a mark-up.
- Check the total against a per-square-foot sanity check for your area.
5. Present a clear quote
List rooms or areas, what's included (walls, ceilings, trim, coats, colors), the price, and what's excluded. See our painting quote template. In the app, the job turns into a client-ready PDF or Excel report in seconds.
